In this guide, I’ll take you through the step-by-step process of creating AI assistants for your business, helping you identify the tasks AI can handle and showing you how to get started.

What Is an AI Assistant?

An AI assistant is a tool designed to automate specific tasks. It can range from simple bots to more advanced systems that handle things like content creation, project management, or even brainstorming. For instance, I use AI assistants to write as me, generate content ideas, and automate certain business processes.

Step 1: Identify Tasks for AI Automation

The first step is identifying tasks that AI can handle for you.

Start by looking at three main areas:

  1. Recurring Tasks: These are tasks that happen regularly, such as generating weekly reports, sending newsletters, or client check-ins. Automating these repetitive tasks using AI is a great way to save time. Tools like Make.com can integrate with platforms such as Mailchimp or ConvertKit to automate these processes.
  2. Routine Tasks: These are triggered by specific events, like onboarding a new client. AI can help with things like creating contracts, drafting proposals, or handling client exit interviews, making it easier to manage workflows.
  3. Creative or Data-Driven Tasks: Anything that involves creating content, generating reports, or designing spreadsheets can be delegated to an AI assistant. Whether it’s brainstorming new ideas or drafting documents, AI can generate high-quality outputs with the right setup.

Step 2: Crafting the Perfect Prompts

To get the best results from your AI assistant, you need to provide clear and specific prompts.

I recommend using the WOAH Method to structure your requests:

  • W: Who you are and what you do. Provide the AI with context about your business.
  • O: What outcome you’re expecting. Be clear about what you want the AI to deliver.
  • A: Are you ready? Asking it, “Are you ready?” ensures it understands you. Even though it’s optional, it’s still a best practice to do so.
  • H: How you want the task done. Specify the style, tone, or format of the output.

For example, if you’re asking AI to create standard operating procedures (SOPs), your prompt could be:

“I run an AI consulting agency. I need your help drafting SOPs for my team. Are you ready? Please keep the responses clear and concise.”

Step 3: Document and Refine Your Prompts

Once you’ve created your prompts, it’s essential to document them. Over time, you’ll refine these prompts based on what works and what doesn’t. Keep a record of successful ones so that you or your team can replicate or adjust them later.

Step 4: Organize Your AI Assistants

As you develop different AI assistants, organize them into a system. You can use a spreadsheet or a Notion database to track your assistants, the prompts they use, and the tasks they handle. This will help you quickly access and manage your AI tools and ensure your team can use them effectively.
